These days the data lines are “glowing” not only because of Netflix, Instagram, WhatsApp and Co., but also because we had to move our daily work routine to the data network to work more from home. The drastic reduction in physical presence in the company makes virtual meetings necessary and presents us with new challenges. Here are a few tips.

For successful online meetings where people stay focused and motivated we recommend:

The Start
If it is technically possible, everyone should have the camera turned on during the welcome round. In the beginning, you can easily plan 5 to 10 minutes for “small talk”, because you might not have seen each other for a long time. This will boost your energy right at the beginning. However, to avoid confusion when speaking, the facilitator should also structure this part.

Microphone off. Camera off. “Share” agenda
Discipline is required from the start. The facilitator “shares” the agenda and asks the participants to switch on the microphone only when they want to give a statement. It may also make sense to switch off the camera to have a better band width.

Interaction is required
The facilitator is particularly challenged to activate the participants. Three points can help here.

  • Ask for information from participants during preparation and during the meeting.
  • Formulate agenda items as questions and invite for discussion.
  • Visualize intermediate results and define follow-up actions with the participants. Advantage: This eliminates the need to write a log, either in whole or in part.

Microphone on. Camera on. Share results
At the end of the meeting, the facilitator summarizes the results and action items, and clarifies any open questions from the participants. We recommend that you nominate the moderator for the next meeting at the end of the meeting to facilitate preparation. Anyone can become a moderator. Variety invigorates.
